Quick steps

Quick steps allow you to combine comments and tasks into one activity.  If you have a number of tasks and comments that you use frequently, instead of selecting each task and comment individually, you can group them into a quick step to save you time.  You can even choose to add a step to finish the task too – saving you another click!

You can create quick steps within the settings area of the system.  This is accessible from the notification bar at the top of the screen.  If you can’t access settings you might not have the correct role assigned, speak to your System Administrator to help you with this.

Create quick steps

  • Go to Settings > Tasks > Quick Steps
  • Choose to create a new quick step using the action at the bottom of the screen
  • Name and define the quick step

You must provide a name for the quick step and then decide on the design of the quick step.  There are three main areas to define when creating a quickstep:

  • Section.  This uses the section that the document is stored in e.g. the Patient section to control when this quick step can be applied
  • Associate the quick step with a category (if your organisation uses categories)
  • Choose what type of task the quick step can be used on

Task Types

Review tasks are usually sent to clinicians as the first people to review documents that are captured into the system. Review actions are the tasks that clinicians create when they review the document e.g. Book Appointment, Call Patient, Order Tests.

When you’re ready to start building the steps involved in the quickstep, choose the step you need from the drop down list and then add the step.  In the list below, you should see the items you’ve chosen and the activities that will be performed when someone chooses to use this quickstep.

When used, the quick steps shown above will use create a ‘Book Appointment’ task and this will be sent to the user or group that is configured to receive the task.  Then, the person using the quick step will be prompted for a comment and finally the review task will be finished and the screen will move on to display the next item in the user’s inbox.

Using finish within a quickstep.  When you allow the finish action to be part of a quick step, it means that your users can respond to a task in just one selection rather than selecting each task and comment individually. However, some users to prefer the option to finish the task themselves so just bear this in mind when you’re designing the quick step

Advanced quick steps

It’s possible to design a quick step so that users are prompted for tasks from a list of tasks that you define.  Using the ‘Add Tasks From’ step, you can choose which tasks are presented to users for them to select from.  For example, you may want to provide the user to choose from a number of different tests of activities.

When this type of step has been chosen, prompt text can be added.  You can also set if the user can make a single selection from the list of tasks shown or multiple selections and to choose which tasks are presented using the ‘define tasks’ option.
