Understanding the NHS Mail Folders for Docman10

Folder Structure

There are 3 folders within NHS Mail that are used as part of your Docman10 collection. Docman are not responsible for maintaining these folders, therefore further action may be required:

Processed:

All messages that are successfully collected will be moved into this folder. These messages will be ready to be actioned within Docman10.

No further action is required, as these items will be dealt with as normal filing tasks within Docman10.

Unprocessed:

Any messages that cannot be processed by Docman10 will be moved into this folder. This is usually due to unrecognised file formats.

Please Note: This folder may not exist initially. The folder will be automatically created as the first item that cannot be processed is received.

Further action is required, as these items will not be processed without manual intervention.

In the first instance, please contact the sender to resend using a different file format. This will reduce any further issues from this sender. Alternatively, download the document, and capture into Docman10 using the Capture option within the filing screen. (As a housekeeping task, we would suggest you monitor this folder and remove the unprocessed item, once the item has been resent/dealt with correctly)

Exceptions:

Any messages that encounter a system error, failing conversion or failing file size limitations will be moved into this folder.

Please Note: This folder may not exist initially. The Folder will be automatically created as the first item that fails is received.

 

Further action is required, as these items will not be processed without manual intervention.

In the first instance, download the document, and capture into Docman10 using the Capture option within the filing screen. Alternatively, please contact the sender to resend. (As a housekeeping task, we would suggest you monitor this folder and remove the excepted item, once the item has been resent/dealt with correctly)
