Filing

Documents can be filed from the capture and filing area into the patient and document sections.

To file a document from the capture and filing area:

  • Select the document
  • Choose the section from the drop down menu on the action panel
  • Select the ‘File Document’ button

Intellisense can be used to help match the patient and document properties (e.g. document description) that are associated with the document.

Filing with Intellisense

Intellisense can only be used when filing to the patient section of the system and the ‘Use Intellisense’ option must be checked.  The system attempts to match a document to a patient and assign document properties using the words and details found within the document.  When attempting to match a patient, if a 100% match cannot be made, the system will present possible matches along with an indicator of a strength of the match shown as a coloured dot to the left of the patient name.  A tool tip is shown when hovering over the coloured dot to show what details the system has matched against.

If the patient is shown here, they can be selected from the results or alternatively a search can be performed from the top of the screen.

The system will attempt to match document properties such as; description, organisation, care setting and folder based on the words found in the document that match the key words found in Intellisense templates.  Where Intellisense has found more than one option for these properties, a message will be presented and the fields that have more than one possible value are highlighted in green.

Selecting the Intellisense icon to the right of each field will show a list of suggested values.

Filing Templates

A quick way to apply document properties is through the use of filing templates.  Filing templates can be used to populate document properties such as; description, organisation, care setting and folder.  They can also be configured to determine what happens after filing.  For example options to create a document review based on a workflow template and start clinical coding can be set.  Filing templates can be chosen from the top of the filing details screen.

TIP

If you apply a filing template when Intellisense has been used, the properties that have been applied from Intellisense will be cleared in favour of the values defined within the filing template.  The values found by Intellisense can be re-applied using the Intellisense icon to the right of each field.
