As of 20/09/2023 a new retention policy will be in place for Docman Connect documents.
The retention information for each document status is outlined below:
Document Status | Physical Document & Metadata | Full Record (Including audits) | Information |
Received | N/A | N/A | Documents in Received status will not be automatically removed as this is not the final status in a document lifecycle. If a document is stuck in Received status, the Delivery Management Support team will investigate and resolve any issues. |
Delivered | Maximum of 90 Days | Maximum of 72 Months | Documents in Delivered status may be automatically removed after 90 days of the document reaching this status. This is a final status in a document lifecycle for a number of Connect destination organisations. This includes the physical document and document metadata only. If documents remain in this status, the Document GUID and audit data are removed after 72 months (6 years). This is for operational purposes. Any Connect destination organisations that support a status of Accepted will not be impacted by this. If any issues do arise, the Delivery Management Support team will investigate until the document reaches its final status of Accepted. |
Accepted | Maximum of 90 Days | Maximum of 72 Months | This is the final document status in most document lifecycles. Any documents in the status of Accepted will automatically be removed after 90 days of the document reaching this status. This includes the physical document and document metadata only. The Document GUID and audit data is removed after 72 months (6 years) for any documents in this status. This is for operational purposes. |
Errored | N/A | N/A | Documents in Errored status will not be automatically removed as this is not the final status in a document lifecycle. If a document is stuck in Errored status, the Delivery Management Support team will investigate and resolve any issues. |
Rejected | Maximum of 90 Days | Maximum of 72 Months | It is the Sending organisations duty to resolve any rejections (Resolved status). After 90 days of a document reaching this status, the document and metadata is removed. This includes the physical document and document metadata only. If documents remain in this status, the Document GUID and audit data are removed after 72 months (6 years). This is for operational purposes. |
Resolved | Maximum of 90 Days | Maximum of 72 Months | This is the final document status in most document lifecycles. Any documents in the status of Resolved will automatically be removed after 90 days of the document reaching this status. This includes the physical document and document metadata only. If a document remains in this status, the Document GUID and audit data is removed after 72 months (6 years). This is for operational purposes. |
