If you’re migrating from Docman 7 or 8 to Docman 10, we’ve created this quick reference guide to help you with the transition.
We’ve updated the interface! The notification and navigation bar that runs horizontally across the top of the screen is always shown when you’re in the main application. Not only does it notify you of the numbers of documents and tasks waiting for you, it’s also a way that you can move around the system. You can select the icons to move into the different areas of the system.
Where’s Batch Manager gone?
The place that you manage your incoming documents is now called Capture and Filing and is accessible from the Filing icon on the notification and navigation bar. To scan into here you will need to use the Docman Desktop Services application which should have been installed for you when you migrated over to Docman 10.
How do I get to my Workflows?
We’ve had lots of feedback that the terms we used to describe things in the past are too complicated, so we’ve tried to simplify things! Now, during filing you can choose from a number of document review options. By creating a document review (or a workflow in Docman 7/8 terms) a task is created and is sent to the task inbox of the person or people it was created for. You can access your task inbox from the Tasks icon on the notification and navigation bar. For more detail about the options available when creating reviews, take a look at this article.
Workflow actions and iWorkflow actions
In Docman 10 we refer to actions as tasks. Task templates can be created to define who receives a task, the priorities and due dates that are assigned. Take a look at the article we have on task templates for more info.
Is Summariser still available?
Summariser has had some major improvements and is now handled through the Task Inbox (accessible from the tasks icon on the notification and navigation bar). We now call the functions that Summariser performed… ‘Clinical Coding’. Clinical coding task templates can be created in settings you still have options to send on to someone else to perform the coding or you can choose to do it yourself immediately. These options should have been configured for you on migration.
Availability of Intellisense has changed … for the better!
You can now use Intellisense for ANY patient letter on ANY workstation! It’s all part of the Docman 10 license. It’s available as an option on the action panel in the capture and filing area. Take a look at the article we have on filing for more info.
New filing features
You can now choose to use the filing templates at the top right hand side of the filing summary screen and use combinations of those values and other values detected by Intellisense. You also have the actual letter previewed on the filing screen so you can read information from it to improve the filing accuracy. When entering information manually, rather than picking from extensive ‘picking lists’, you can now just start typing the word and Docman will automatically suggest the entry, saving you time!
Check in / Check out
In Docman 7 you need to check a document out to download a copy and then make your changes and when you check the document in, those changes to be seen by others.
We’ve changed the terminology of this in Docman 10. You must download a document using the ‘Download’ action that is available in Docman 10 and then you can choose to revise the document stored in Docman using the Add Revision action that is available in the document viewer. Not all user roles have the permission to add a revision. Docman Supervisor and Clinical Users roles have the features to add revisions.
